Office Manager

Job Summary:

Garneau Tennis and Beach Volleyball Club is accepting applications for the  Office Manager position for the 2017 summer season,  April 15 - October 15, 2017, weather permitting. This is a  non-profit organization maintained by its members, and governed by  Board of Directors.

Hours of Work:

Minimum 40 hours/week. Must be flexible to work daily/evening shifts and weekends.



Responsibilities


  • Help recruit and train Office Assistants, plan and organize workloads and staff assignments,  prepare and monitor timesheets, and establish calendar of events for tennis and beach volleyball

  • Communicate regularly with Board of Directors,  and members

  • Manage Tennis Lessons with Club Tennis Professional: Establish sign up process, establish lesson rates, set up lesson schedule, assess quality of lessons, issue end of season report

  • Advertise all events (website, renting portable signs, posters, email,  word of mouth, phone calls)

  • Evaluate schedule and attendance to determine if new events can be incorporated to increase the use of the tennis and beach volleyball courts  

  • Establish standards and procedures, design and implement office policies

  • Establish relationships with other organizations and groups to gain more exposure

  • Solicit sponsors & prize donations as required

  • Cash out daily, secure and/or deposit funds overnight, monitor cash flow

  • Issue monthly manager’s report (admin, staff,  tournaments, social events)

  • Ensure that Garneau office records are maintained and up to date

  • Ensure personnel and members files are up to date and secure

  • Determine inventory levels, maintain and replenish inventory

  • Purchase materials for the office and events  on daily basis — office supplies, food and beverages for tournaments, prizes etc.

  • Create, update, and maintain Garneau social media and Garneau website

  • Create and publish Garneau Newsletter on a monthly basis

  • Prepare an annual database of members’ information

  • Meet members and potential members to discuss clinics, interclub, weekly events during  tennis membership registration days and during the season

  • Ensure that all players are members (yearly, monthly, daily) - paid fees & signed  liability waiver

  • Organize the logistics of AGM

  • Plan in-house events and activities (social gatherings, tournaments)

  • Participate on clean up at opening and closing of the season

  • Secure facility — gates, sheds, and office

  • Help maintain courts when needed and help with lifting of supplies and materials


Experience


  • Bachelor degree in Physical Education, Recreation Administration, Business or related field (completed or currently enrolled)

  • Minimum two years experience as a manager or assistant manager

  • No tennis coaching experience required, but interest in tennis/beach volleyball is an asset



Skills


  • Excellent communication and organizational skills (in person, by telephone, and written) with professional level in interpersonal relations, confidentiality and tact required

  • Proficiency in Google Applications including sheets, docs, in addition to MS Office Applications including Excel, Word, and PowerPoint  

  • Sound knowledge base and experience in project planning and management

  • High level of organizational skills and ability to work under pressure managing multiple projects
